Whenever you place an order for sample processing, sequencing and analysis, and receive your kit, you'll receive an email providing you with a link to register your samples for this order. You will also be prompted to register your samples through the order tracking page. It is important to complete this step before shipping your samples to our lab, as it lets us know which samples to expect to be delivered to us, and allows us to track your samples through each step of the process.
Download a Template Metadata Sheet
We've made registering your samples easy for you. We'll provide you with a template sheet for each of your orders. If your order includes our reformat devices, we'll pre-populate the template sheet with the barcodes on those devices, so you'll just need to enter your sample names. If you have already collected your samples in OMNIgene•Gut devices, we provide a blank template for you to enter your barcodes into.
You also have the option to enter additional metadata. We've provided some common fields. You can add your own fields by adding columns to the metadata sheet.
Note that some of our suggested metadata fields are restricted to certain options. You can leave them blank, or you can choose from the following:
The "Sample Type" field can be one of "Isolate", "Metagenomic", or "Other".
The "Platform" field can be one of many different options. If you leave this field blank, our software will automatically detect the platform used. We currently sequencing using "Illumina NovaSeq" or "Illumina NovaSeq 6000". Our automatic detection will report "Illumina NovaSeq".
The "Library Type" field can be one of "WGS", "Targeted/16S", or "Other". We currently provide only "WGS" libraries.
If you enter different values in these fields, you will be provided with a warning when you try to upload your metadata sheet.
By default, your samples will be populated with a new tag named with your order number.
You can choose an existing project to add your samples to. You can always change the project any sample belongs to later on, by editing sample metadata. Learn more about that here.
If you are not sending all of your tubes back in one batch, just register the tubes you are sending. Remove the unused barcodes from the template sheet, so that they will be available for later use. This ensures that we will be able to inform you once the batch is complete.
Upload Your Completed Metadata Sheet
Once you've completed your metadata sheet, you can upload it to the browser. We accept either .xls or .csv format.
Name Your Batch
We ask you to name the batch of samples at this point. This field will auto-populate with the name of your order. However if you are shipping your samples to us in multiple batches, you can change the name of this particular batch so that you can track it more easily through our process.
Enter Your Tracking Number(s)
For international customers, we do not provide shipping labels, but request that you email us (support@onecodex.com) with your tracking number.
For U.S. customers, we provide you with shipping labels, so that you can ship your samples to us easily. In order for us to track your shipment, we require you to select the tracking number from the label you've used for this batch from the drop-down menu of shipping labels for your account. If you are sending multiple boxes, you can select multiple shipping labels.
Next Steps
Now that you've registered your samples and entered your metadata, it's time to ship your samples to our lab!
